If you request a room with a Trip Consultant prior to the final payment due date, we start the process of requesting additional rooms from our trip hotels right away. We usually hear back from hotels within 7 business days (and often much sooner!), but we will always communicate with you as soon as we have a response. If you make the request online, you will be charged your trip deposit as soon as availability is confirmed.
For reservations made after the final payment due date, full payment is due upon confirmation. If additional hotel rooms are required for your trip, Backroads will first validate your credit card before proceeding. No payment will be taken at this stage, but a valid card must be provided to initiate the request. Hotel confirmations typically take 3-5 days, but may take up to 7 days. If your rooms are confirmed within 7 days, your card will automatically be charged for the full trip cost. If you cancel at this point, standard cancellation fees will apply. If Backroads is unable to confirm the requested rooms within 7 days, you may cancel the request with no financial commitment. If your request remains pending within the first 7 days and you choose to cancel, a deposit will be charged: $750 per guest for Standard Departures, and $1,000 per guest for Special Departures, Ship Trips, and Private Trips. If the confirmed rooms differ from your original request, we will contact you before processing payment. You will not be charged unless we confirm what you need.
